Our Logistics team works to provide a comprehensive service to clients in over 60 countries around the world, and has extensive experience supporting clients throughout every step of our end-to-end process in close collaboration with the Project Management department. Expert members of our team prepare raw materials and stage study-specific software to be site-ready, while our Logistics Coordinators leverage their thorough understanding of the many and varied rules and regulations of global exportation in order to ensure our distinctive CIMs Blue Box is delivered swiftly.

Equipment is monitored throughout its lifespan, from arrival at site, the duration of the study, all the way to site close-out. Our in-house AI system allows us to track and trace equipment throughout its time with any given study, during which we monitor its usage in order to anticipate a site’s equipment needs before any issues appear, eliminating downtime for our clients. Our team works closely with the Service Desk team to offer sites support for any changes in equipment requirements during the length of a study.

CIMS Equipment Assembly

Our technical assemblers are responsible for the assembly of the components that are included in the Central Image Management Solution. We keep track of inventory levels of these components to ensure that we maintain a contingency of them, as well as completed study packages, in order to anticipate your needs. During assembly each piece of CIMS equipment undergoes rigorous testing to ensure 21 CFR part 11 compliance and that equipment is fully functional prior to shipment.

Logistics Coordinator

The Logistics Coordinator is responsible for the shipping and receiving of CIMS Video Capture Equipment used in Clinical Trials by our many sponsors. As we ship to a wide range of countries, we have a wealth of experience navigating the many rules and regulations of global exportation. Our ability to work effectively with shipping agencies in other countries has been celebrated by Robarts (Alimentiv) winning the Beyond Borders award at the London Chamber of Commerce Business Achievement Awards in 2019.

We also have experience with shipping larger shipments (pallet loads) to affiliate depots and collaborate with our TMF Operations dept. to send end of study TMFs to sponsors. We also expect to expand into other areas of clinical trial logistics operations in the near future.

Our core Logistics team works in London, Canada, and we have logistics team members in our Amsterdam office who can assist with local, European Union specific requirements.

We are glad to partner with the Sponsor, CROs, and their own logistics experts to ensure the most effective way to transport equipment to the sites, and have contracted with our own logistics vendors in various parts of the world.


CIMS Equipment Lifecycle


Assembly

Technical experts assemble equipment. SSDs are programmed with site specific software and placed in enclosures. Imaging software compatible with the SSD is installed on laptops.

Testing

Laptops and SSDs are thoroughly tested to ensure security measures are functional, and that all other components are in working order. Testing is recorded and documented for our TMF Operations.

Packaging and Shipping

Our Logistics Coordinators receive shipping requests and begin order fulfilment. Our coordinators then prepare the CIMs package equipment for shipping by ensuring that the correct equipment will be sent to sites and filling paperwork to maintain accountability within our records.

Once our distinctive CIMs Blue Box is all packaged up, it’s time to send it to site. We track the shipment throughout the delivery process to ensure its safe arrival.

During the span of a study our Logistics administrators in collaboration with the Service Desk team are able to document changes as they occur at site, updating ownership of equipment, accommodating site changes, and ensuring equipment shipped to a depot is assigned to the correct site once it reaches its final destination.

Our in-house AI allows us to monitor and determine equipment viability based on age and usage, allowing us to pre-empt site requirements for upgrading equipment.
